Privacy policy
What Tenowa keeps, why, where, who can see it, and what you can ask us to do. Written to be read, not skimmed past.
Who we are
Tenowa is a rent and tenant ledger for landlords, provided by Serviti AI (OPC) Private Limited (“Serviti AI”, “we”), registered at LIG Plot No. 267, Nallagandla HUDA, Gachibowli, Serilingampally, Hyderabad 500019, Telangana, India. This policy explains what information Tenowa holds, why, where it is kept, who can see it, and what you can ask us to do with it.

Your records, and ours
Most of what is in Tenowa is information a landlord or property manager records about their own properties and tenants. For that information the landlord decides what is recorded and why; we keep it and process it on their behalf, to provide the service. Under India’s Digital Personal Data Protection Act, 2023, the landlord is the data fiduciary for their tenants’ information and Serviti AI acts as their data processor.
For your own account (your name, email and how you use Tenowa) and for visitors to this website, Serviti AI is responsible.
What we keep
- Your account: your name and email address, the workspaces you belong to and your role in each (owner, property manager or tenant), and when you last signed in.
- Sign-in codes: the six-digit codes we email are stored only as a one-way keyed hash, for 30 minutes, with a count of wrong attempts. Staff accounts also have a password, stored as a bcrypt hash.
- What landlords record: properties and units; tenants’ names, phone numbers, email addresses, identity document type and number, and permanent address; lease dates, rent, deposit, increases, lock-in and notice terms; rent payments and how they were made; utility meter readings and charges; building expenses; reminder drafts; and files uploaded as agreement copies or payment proofs (up to 10 MB each).
- What tenants report: a payment they say they made, with its reference and an optional screenshot.
- Plan and billing: your trial dates, and for each licence the plan, dates, amount, currency and the payment reference we were given. We do not take or store card or bank details.
- A record of emails sent: which reminder or notice went to which address and when, so none is sent twice.
Why we use it
- To provide Tenowa: showing each person the records their role allows, working out balances, and keeping your ledger.
- To sign you in by emailed code, and to keep accounts secure.
- To send the emails the service depends on: sign-in codes; invitations when someone adds you; notices when a tenant reports a payment and when it is confirmed or not matched; and, unless the landlord turns them off, rent reminders to tenants who owe and a list of unpaid rent to owners and managers.
- To tell owners when a trial or plan is ending, and to record licences.
- To understand how Tenowa is used and fix what does not work, through product analytics (see below).
- To meet legal obligations and to respond to lawful requests.
We do not sell personal information, and we do not use the records landlords keep in Tenowa for advertising.
Who can see it
- Owners of a workspace see everything in it. Property managers see the same records except building expenses and workspace settings. Tenants with a login see only their own tenancy: their rent, payments, charges and agreement copies, never other tenants or the landlord’s notes.
- Serviti AI staff can see account and workspace details in an admin area to give support, manage plans and keep the service running. Access needs an emailed code and a separate password, and every change made there is logged.
- Service providers that run parts of Tenowa for us, listed below, and only for that purpose.
- Authorities, where Indian law requires it.
Services we use
- Microsoft Azure (South India region): hosts the Tenowa app and its database, including uploaded files. Database backups are kept for 7 days.
- Google Workspace: sends Tenowa’s emails, and receives email sent to tenowa.app addresses.
- Cloudflare: runs our domain names and Turnstile, an invisible check that the person asking for a sign-in code is not an automated script.
- PostHog (United States): product analytics on this website and in the app, including session replays with every form field masked, so what you type (such as identity numbers and amounts) is never recorded.
- Google Ads: on this website and at sign-up, a tag that tells us when someone who clicked one of our ads creates an account. It uses a cookie on tenowa.app.
- ipapi.co: this website looks up the country of your IP address to show prices in rupees or dollars. Nothing is stored.
Some of these providers process information outside India. We use them only as the Digital Personal Data Protection Act allows.
How long we keep it
- Records stay while the workspace exists. When a trial or plan ends without renewal, the workspace becomes read-only; nothing is deleted.
- When a landlord deletes a tenant, property, payment or file, it is removed from Tenowa at once and from backups within 7 days.
- To delete a whole workspace or your account, write to support@tenowa.app. We delete the workspace and all its records, and the accounts of people who belong to no other workspace; backups follow within 7 days.
- Sign-in codes are deleted or expire within 30 minutes. The log of admin actions and of emails sent is kept for as long as needed to run and secure the service.
Your rights
You can ask us to give you a summary of the personal information we hold about you, to correct or complete it, or to erase it; to nominate someone to act for you; and to have a grievance heard. Owners can correct and export most records themselves from the app (CSV export of the ledger, reports and expenses).
If you are a tenant and your information was recorded by your landlord, you can ask the landlord directly, or write to us at support@tenowa.app and we will pass your request to them or act on it where we can.

Email support@tenowa.app. We aim to reply within 7 days and to resolve grievances within 30. If you are not satisfied, you may complain to the Data Protection Board of India.
Security
Tenowa is served only over HTTPS. Sign-in codes are single-use, expire in 30 minutes and lock after five wrong tries; the requests are protected against automated abuse. Each role sees only what it should, enforced on the server. Staff access needs a second factor. No system is perfectly secure; if we learn of a breach affecting your information we will tell you and the authorities as the law requires.
Children
Tenowa is for adults. It is not meant for anyone under 18, and we do not knowingly collect information from children.
Changes to this policy
If we change this policy we will update the date at the top, and tell owners by email before a change that affects how their information is used.
